Data Deletion

Instructions for requesting deletion of personal data associated with the Prime ERP website, platform, or connected Meta/WhatsApp services.

Prime ERP respects requests to delete personal information where deletion is required or appropriate under applicable law, contract, and our retention obligations. This page explains how an individual or authorized business representative can submit a deletion request.

1. How to Request Data Deletion

1. Send an email to the privacy/support email listed at the top of this document.
2. Use the subject line: "Data Deletion Request – Prime ERP".
3. Provide enough information for us to locate the relevant record, such as your name, organization name, account email, or other non-sensitive account reference.
4. If the request relates to a connected WhatsApp Business interaction, state that the request concerns WhatsApp data. Do not send access tokens, passwords, one-time codes, or other secrets.
5. If you are requesting deletion on behalf of an organization or another person, include information showing that you are authorized to make the request.

2. Identity and Authorization Verification

To protect users and business records, we may need to verify the identity or authority of the requester before deleting information. We will request only information reasonably necessary for verification.

3. What We Will Delete

Subject to applicable law, technical feasibility, contractual obligations, and the customer's instructions, deletion may include personal information associated with:

• Prime ERP website or platform accounts.
• Support requests and communications.
• Contact information stored for business messaging.
• WhatsApp Business message data or metadata processed by Prime ERP, where Prime ERP controls or is authorized to delete that data.
• Integration-related personal information that is no longer required for the service.

4. Information We May Need to Retain

Some information may be retained where reasonably necessary or legally required, including:

• Financial, tax, invoicing, or transaction records required by law.
• Security, fraud-prevention, access, or audit records.
• Records required to establish, exercise, or defend legal claims.
• Data that Prime ERP processes solely on behalf of a customer where the customer must authorize the deletion.
• Backup copies that will be removed or overwritten through normal retention cycles, provided they are not restored for ordinary operational use.

5. WhatsApp / Meta Data

If your request relates to information processed through a WhatsApp Business integration, Prime ERP will delete information within its control when the request is valid and deletion is permitted. Information independently held by Meta or WhatsApp is governed by Meta's own systems, policies, and deletion mechanisms.

6. Processing Time

We aim to acknowledge deletion requests promptly and complete valid requests within a reasonable period. A typical target is within 30 days, although additional time may be required for complex requests, legal review, verification, customer authorization, or technical retention cycles. Where required, we will provide an update.

7. Confirmation

After a valid request is completed, we may send confirmation that the deletion has been processed or explain any information that must be retained and the reason for retention.

8. Requests Concerning a Prime ERP Customer Organization

If your personal information was entered into Prime ERP by a customer organization (for example, your employer or another business), that organization may be the primary controller of the data. In that case, we may direct the request to the customer or require the customer's authorization before deleting business records.
